1. Information We Collect

We may collect the following types of information:

Contact and booking information

  • Name, email address, and phone number

  • Wedding date, venue, and event details

  • Delivery address and other information needed to coordinate your rental

  • Names of the couple or other participants

  • Editing preferences, music requests, shot lists, and special filming requests

  • Communications you send us

Identity verification information

We may collect a photo of a valid government-issued photo ID, such as a driver’s license or passport, to verify your identity and help recover rental equipment or amounts owed. The name on the ID must match the payment card used for the booking.

We delete the ID photo within 30 days after the equipment is returned and all amounts owed have been paid.

Payment information

Payments are processed through third-party payment providers, such as Stripe. We may receive billing details, payment status, and transaction information, but we do not store your full payment card details.

Wedding footage and media

Our rented cameras may capture video and audio of you, your guests, and other participants. We receive and process this footage to provide our editing and video delivery services. We do not directly collect personal information from guests for booking purposes.

Website and device information

When you visit our website, Squarespace and related website technologies may collect information such as your IP address, browser type, device information, pages viewed, and interactions with the website. Cookies and similar technologies may be used for website functionality and analytics.

Communication preferences

We may keep records of your email and SMS preferences, including whether you have opted in or out of promotional communications.

2. How We Use Your Information

We use personal information to:

  • Process bookings, payments, and rental agreements

  • Coordinate equipment delivery, pickup, and return

  • Verify identity and help protect our equipment and business

  • Provide editing, footage storage, and video delivery

  • Communicate about bookings, service updates, reminders, and customer support

  • Send promotional emails or text messages where you have opted in

  • Use wedding footage and photos for marketing as described in your rental agreement, unless you opt out

  • Maintain, secure, and improve our website and services

  • Comply with legal obligations and enforce our agreements

3. Wedding Footage, Photos, and Marketing Use

We use wedding footage and photos to provide the services you book, including editing, storing, and delivering your video.

As described in our Rental Agreement, marketing use is permitted by default unless you opt out. If you do not opt out, we may use footage, photos, and edited clips for purposes such as our website, portfolio, social media, promotional videos, and other marketing materials.

You may opt out during booking or notify us before your rental begins by emailing info@hawaiiweddingstory.com.

If you opt out, we will not use your wedding media for public marketing purposes, subject to any separate promotional agreement you have signed.

You may also request removal of a specific post on our own channels. We will remove it within seven days where applicable. We cannot guarantee removal of printed materials already distributed or content reposted by third parties.

We do not intentionally use nudity, intoxicated or embarrassing moments, or close-ups of minors in marketing. We will not use an identifiable guest in paid advertising without that guest’s permission. We will make reasonable efforts to blur or cut guests who request it where practical.

You are responsible for informing your guests that filming may take place, as described in your Rental Agreement.

4. Email and Text Messages

We may send service-related communications about your booking, payment, rental, delivery, return, footage, and customer support.

Promotional emails and text messages are sent only when you have opted in to receive them. Message frequency may vary. Message and data rates may apply.
